Personalize your evaluation management!

IS-Academia offers an evaluation management tool that offers to the students the possibility to manage their own course evaluations. This tool displays a list of basis evaluation information such as the evaluation’s name, the dates when it can be completed, etc.

In some cases, it might be interesting to display more information, depending on the context of the evaluation, for example the type of evaluation (course or traineeship). It is now possible, from the IS-Academia 1605 version. The evaluation’s module offers the possibility to display additional columns fully customisable depending on the administration needs.


Follow-ups management renewed (2/2)

From the 1605 IS-Academia’s version, a new cell of follow-ups management has been implemented in the application. Way much easier to use, this new cell isn’t lighter than the old one.

New fields had been added; a title in a single line in a matter to separate the follow-up’s title to the description (multiple lines); a visibility date, allowing you to hide a follow-up until a specified date; and the possibility to classify the follow-ups in a folder hierarchy.

It’s possible to add multiple documents trough a drag & drop zone directly inside a follow-up.

Roles may be specified on each follow-up to allow or not the possibility to delete a document or a follow-up; the possibility to apply a read only mode on the follow-ups.

The follow-ups management screens had been homogenized in a way to present the same fields trough the different screens and inside the portal. Moreover, when a massive printing, all follow-ups generated are identified and grouped in a batch. This functionality allows you to recover all follow-ups generated at a precise moment by a user and to edit or delete them in a massive way.


The old follow-up popup, accessible through screens, has not change. Anyway, it is possible to replace it with a portal. This kind of portal is really simple: a single tab with a minimum numbers of cells. This variant offers all the possibilities of configuration and customization that can be found in the portals.


Follow-up management (1/2)

With the 1605 IS-Academia version, there is a new follow-up management module. A new cell lists a student’s follow-ups or a GPS’s follow-ups or a group of follow-ups generated at a same time (example: mass printing of letters or grades). A range of filters adjusts the information displayed and allows you to show only the follow-ups you are interested in.

The information displayed as follow-up’s details are completely customizable; you can decide which information to display and which may be editable. This cell offers a massive follow-ups modification mode. So you can now move a group of follow-ups to another follow-up action or modify an incorrect date of a group of follow-ups.

One additional option is available for this cell and offers the possibility to add a subscription column inside the table. This way, a user may subscribe to a follow-up and be informed when the follow-up expires.

An access to documents is still available in this new cell, with a new feature: a link allows to share a public URL to the document selected. This feature allows the access to the document by an external user.


Save your profile pictures directly in the right dimensions !

Profile pictures are often used to print the student’s card or into class lists. They usually require specific dimensions.

A new cell allows the user to upload a picture, then to zoom in and to position it into a frame which has the required dimensions. The result is then automatically saved in the desired format directly as the selected user’s profile picture.

This new functionality is usable also in the different forms. The picture given by the candidate doesn’t need modification by an administrator anymore.


Ergonomic generation of documents or emails sending

The generation of documents and the email sending offers you now the new possibility to drag and drop one or several persons directly into a drop zone containing all documents and emails available, making this manipulation extremely user-friendly.

Once this operation made, you can also save the email sent directly into the person’s traces, add specific text and preview the email.


Communication inside IS-Academia

When managing an academic establishment, it’s essential to well-communicate with the different actors; students, teachers, administrators, etc. This communication may be made simply by sharing information, sending specific documents, or even by talking with several interlocutors. IS-Academia provides many of these mediums of communication allowing you to interact with your users directly inside the application.

Since a long time, the email module offers the possibility to send emails in an individual or massive way, automatically, depending on user actions or programmed according to criteria. The module “Send logs” shows every email sent by the application.

The mail module, widely used to send paper mails, generates letters according to predefined templates.
Recently, two more mediums of communication had been added to IS-Academia:

The first one is a live chat, which may be integrated directly inside a portal or a form. It offers a quick and contextualized communication through users (for example candidates with administrators or teachers with human resources).

The second one is a news module, displaying your breaking news through different portals (on desktop or mobile). Crucial information won’t be missed anymore.

Planning & Covid-19

Adapt your organization

The Covid-19 health crisis has changed many aspects of our personals and professionals lives. Teleworking and online training has taken on a new dimension and new needs arise. That is why we have adapted our schedule module to allow schools to manage face-to-face or online courses.


Two approaches have been developed: global or per-course.


Managing “online” courses on a per-course basis

An administrator or a teacher can define a future course as being "online" by clicking on a checkbox. As long as the course has not taken place, it is always possible to modify this choice. Students will see a new icon appear at the top right of the course, informing them that this course will not be taught in person.


Global management of rotating student groups

Favoured by certain universities, this method consists of an automatic distribution of students into several groups. Students are called to classrooms only some days in a week, depending on the number of groups. For example, students come to class every third day when they are split into three groups, and take online classes on the remaining days.

An indication is added to each individual student’s timetable to differentiate the days of face-to-face teaching or online lessons.


These two workflows are already available. As usual, we are open to adapt or develop a solution who match with your way to handle the students' back and forth.



Post-its are the current and indispensable tool of an administrator.

Reminder, appointment, to do lists, reminders, password... They are often sticked on the edge of screens or at the desks corners. The paper version of the post-its is practical but prone to the unsticks, losses, gales and colleagues indiscretions... That is why, in IS-Academia's portals, we implemented the possibility to create recordable post-its for each user. They are permanently accessible, discreet and customizable.

A post-it consists of a title, a content and an editable color. There are two ways to integrate them into a portal: as a component, discrete and accessible anywhere or in a cell.


One more step into digital with electronic signature

Employment contract, internship agreement, diplomas, school reports… many very important and official documents that needs to be signed. Until today, the solutions adopted were based on scanned signatures directly integrated to the documents, or on complex processes of documents exchange between the different stakeholders.

In the aim to enhance the legacy and the efficiency of this processes, Equinoxe (at the behest of our client ICL) has integrated a product of the DocuSign society. This society offers different technologies of electronic signatures that are recognized by the federal law of the 19. December 2003 about certification's services.

The operation is very simple:

  1. The document is generated inside IS-Academia and automatically and in a secure way sent through a web service to DocuSign,
  2. The contracting parties are contacted by Email by DocuSign,
  3. The signatory online signs the document,
  4. Through a web service, the document signed is sent back to IS-Academia,
  5. Every transaction and action are stored by DocuSign 

This new functionality is available since the 1710 version of IS-Academia and is already used for employment contracts. 


My login page, my identity!

Homogeneity in the web interface's visual identity is very important for the users. Improving the ergonomics, enhance the information's clarity or better integrate an environment are the things that take part of a better user experience.

That's why IS-Academia offers now the possibility to set, for a unique application, different login pages with different designs, depending on the access address. Every entity of an establishment (school, department, faculty, …) who work on the same IS-Academia application can now access the application trough a custom login page, with their own colours and identity. The ULR and the design changes, but the functionalities remain.

In the 1710 version of IS-Academia, two old modules had been implemented inside the portals: conversion tables and extractions.

The cells for the conversion tables allows us to list existing tables, modify information, columns and rows. We added some new functionalities: the possibility to show a read-only table, to work only on one table, to edit only the values and to hide columns.

Concerning the extractions, the main functionalities had been created: public or private extraction lists, creation from a cursus model or from cursus’s details, add/remove of columns of filters, validation date’s modification… All of this integrated inside the portals with the ergonomics and de design renewed!


BBT Rules (Botton To Top)

How can we calculate dynamically, and in real-time, results of evaluations? How can we have the results displayed as and when we insert grades inside the application? All of this in having a correct answer time? This is the aim of the BTT rules.

Every time a grade, an evaluation or other data is entered, a result calculation is sets off trough the BTT rules, based on the position of the grade in the evaluation’s tree. With this functionality, we can now see the results calculated almost simultaneously to the seizure, even for complex evaluation systems (for example evaluations that combine time metrics and classical grades).

This new module is compatible with every notation system used inside IS-Academia. However, he is forced to be used in a hierarchical structure, supposing an evaluation is only influencing results above it. This constraint can be lifted by combining BTT rules with rule’s classical treatment. This mode allows a double treatment, with a part of the results calculated directly and another in deferred time. With this combination, we also optimize the result time by fragmenting the calculation of the different grades.


PDF’s metadata and uploading cell

The PDF’s we usually use may contain metadata. This information indicates the document’s author, subject, keywords, etc. and is generated automatically when the PDF document is created.

When the PDF’s are loaded inside IS-Academia, they also contain this information. Most of time, it’s unused, but a document from IS-Academia may be sent to an external system which may need such information to publish or manage the document. 

Inside IS-Academia, a cell has been developed to load a PDF document inside a student’s follow-up. The particularity of this cell, is that it is possible to define, for each document, which metadata we want inquired. The data may arise from the user, or even from a GPS’s detail of the registration used.

The document saved inside IS-Academia contains metadata up-to-date and in cohesion with the student concerned, and may be sent to another system properly. 


Web service and test page

Web services are required to let two remote systems communicate. Inside IS-Academia, a few of them have appeared; some linked to people, some to schedules, others to plans of study, etc. All of these services are fully configurable and continue to evolve through time.

What is problematic is the act of testing them. How do you call the web service? What are the arguments required to make the web service work? Do I need to authenticate?

In the aim to answer these questions, a page had been conceived to offers pre-set examples. These test cases contain all the required information to launch a web service. It’s possible to define the service’s address, required arguments, and linked particularities. All these examples are defined through a portal’s cell and might be adapted case to case.


Invocation of web services inside IS-Academia

IS-Academia is not an isolated application. It must communicate with external systems by receiving or sending information.

From some time now, we have developed a web service infrastructure, allowing to send information from IS-Academia to the outside. This was a first step, but receiving and presenting information from other applications is essential. Therefore, we created a new cell able to invoke web services and transform the answer as an XML file. This transformation offers an infinity of possibilities to display them in a portal cell (responsive or not).

A concrete example has been set up to display courses schedule. The data are called from the outside of the application through the web service cell, and are display with a new standard library of schedule display in the teacher’s portal.

This new cell will stop where web services will stop…


Today’s program in your pocket

Today’s program cell has been modified in the version 1707 of IS-Academia in a way to offer a more simplified and elegant vision of your day.

Especially conceived for a mobile use, this cell allows you to quickly check the information of your day’s program, such as the time, the room or the teachers of your next course.

Moreover, arrows offer you a simple to use navigation day per day, and a calendar allows you to navigate directly to a special date.
