Queues' statistics

On critical days (course registration, grade consultation), the number users connecting to a portal increases heavily. In order to ensure application stability, you have activated portal queues.

Queue data is automatically processed and saved: every user's entering and departure of the queue. Both listing of full data and key statistics (such as average time in queue, greatest time spent in queue) are available for every queue through two new portal cells. These indicators will help you tweak the queues' configuration.


An attractive and dynamic login page

The login page is a step to login into the IS-Academia web application, but not only. It also represents your school’s showcase and it gives a first feeling of your management application. So it is important that this page be not only at your image, with your colours, but also needs to reflect a modern and dynamic aspect.

In this aim, our design team may bring you their competences to set up your own login page and she has provided, inter alia, the possibility to integrate dynamic background images. At each load of the page, the background image is chosen randomly in a selection of your choice.

It is also possible to change the background image to the season’s rhythm, during special events or at your own demand. For example: for Christmas, during the holidays or graduation, etc.


A stock exchange for projects, theses and work of graduation is arrived

Based on the internship management functionalities, it is now possible to manage all the works that a student has to do during his studies.

Until now, the student had the possibility to offer some subjects for their projects, theses or work of graduation. Now it is possible to offer to the students a list of subjects for a work on which they can subscribe, indicate their preferences and follow the evolution of their application.

In terms of administrative management, communication with the teachers or companies, notifications and the control of studies, everything works in the same way with the same functionalities than the internship management.


Quick access to my favourite companies

During your administrative activities (internship management, mailing, etc.), you need to access all companies or institutions that are related to your school.

This list may quickly grow up and then contain an important number of entries.

In the aim to make it easier for you, it is now possible to manage your own favourites, which allow you to show in a quick and easy way the companies or institutions that you frequently work with.


The paging finally shows up!

It was expected for a so long time that it will surely please more than one. Your long students list, grade list or other, may now be displayed in multiple pages.
The major asset of this functionality is in the performance. View a limited list, for example the twenty first lines, is naturally more efficient than showing all the hundreds or thousand lines at once.

A navigation bar is available to navigate through the different pages in a simple way. Knowing that the rest of the list’s data may be loaded in background, navigating through the other pages is made almost instantly.

Possibilities to sort the whole list’s data are also available, by choosing a column on which apply the sort in a dropdown list or directly on the table’s header.

The two classical export buttons still offers the possibility to export the list displayed. Two new buttons offers the possibility to export the entire list (not only the lines displayed) in the usual formats, PDF and Excel.


Switch through units, it’s now!

In many situations (multi-schools, multi-services), users may regularly need to change through work units or portals. The cell available until now in portals (see capture 1) was no longer appropriate in these cases. In the aim to cover this need, the possibility to change through units or portals has been expanded with two new cells.

The first solution (see capture 2) is for someone who works in a unique portal but who needs to change through units, for example an administrator. This cell shows a tree of the units in which the user owns access rights for the portal in which he actually works in.

The second solution (see capture 3) offers the possibility to search through the units accessible by the user and to select a portal available in the unit selected. This option offers to the user the possibility to change of unit and portal at the same time.

These different solutions are naturally combinable and settable in accordance to your needs.


Planning & Covid-19

Adapt your organization

The Covid-19 health crisis has changed many aspects of our personals and professionals lives. Teleworking and online training has taken on a new dimension and new needs arise. That is why we have adapted our schedule module to allow schools to manage face-to-face or online courses.


Two approaches have been developed: global or per-course.


Managing “online” courses on a per-course basis

An administrator or a teacher can define a future course as being "online" by clicking on a checkbox. As long as the course has not taken place, it is always possible to modify this choice. Students will see a new icon appear at the top right of the course, informing them that this course will not be taught in person.


Global management of rotating student groups

Favoured by certain universities, this method consists of an automatic distribution of students into several groups. Students are called to classrooms only some days in a week, depending on the number of groups. For example, students come to class every third day when they are split into three groups, and take online classes on the remaining days.

An indication is added to each individual student’s timetable to differentiate the days of face-to-face teaching or online lessons.


These two workflows are already available. As usual, we are open to adapt or develop a solution who match with your way to handle the students' back and forth.



Post-its are the current and indispensable tool of an administrator.

Reminder, appointment, to do lists, reminders, password... They are often sticked on the edge of screens or at the desks corners. The paper version of the post-its is practical but prone to the unsticks, losses, gales and colleagues indiscretions... That is why, in IS-Academia's portals, we implemented the possibility to create recordable post-its for each user. They are permanently accessible, discreet and customizable.

A post-it consists of a title, a content and an editable color. There are two ways to integrate them into a portal: as a component, discrete and accessible anywhere or in a cell.


One more step into digital with electronic signature

Employment contract, internship agreement, diplomas, school reports… many very important and official documents that needs to be signed. Until today, the solutions adopted were based on scanned signatures directly integrated to the documents, or on complex processes of documents exchange between the different stakeholders.

In the aim to enhance the legacy and the efficiency of this processes, Equinoxe (at the behest of our client ICL) has integrated a product of the DocuSign society. This society offers different technologies of electronic signatures that are recognized by the federal law of the 19. December 2003 about certification's services.

The operation is very simple:

  1. The document is generated inside IS-Academia and automatically and in a secure way sent through a web service to DocuSign,
  2. The contracting parties are contacted by Email by DocuSign,
  3. The signatory online signs the document,
  4. Through a web service, the document signed is sent back to IS-Academia,
  5. Every transaction and action are stored by DocuSign 

This new functionality is available since the 1710 version of IS-Academia and is already used for employment contracts. 


My login page, my identity!

Homogeneity in the web interface's visual identity is very important for the users. Improving the ergonomics, enhance the information's clarity or better integrate an environment are the things that take part of a better user experience.

That's why IS-Academia offers now the possibility to set, for a unique application, different login pages with different designs, depending on the access address. Every entity of an establishment (school, department, faculty, …) who work on the same IS-Academia application can now access the application trough a custom login page, with their own colours and identity. The ULR and the design changes, but the functionalities remain.

In the 1710 version of IS-Academia, two old modules had been implemented inside the portals: conversion tables and extractions.

The cells for the conversion tables allows us to list existing tables, modify information, columns and rows. We added some new functionalities: the possibility to show a read-only table, to work only on one table, to edit only the values and to hide columns.

Concerning the extractions, the main functionalities had been created: public or private extraction lists, creation from a cursus model or from cursus’s details, add/remove of columns of filters, validation date’s modification… All of this integrated inside the portals with the ergonomics and de design renewed!


BBT Rules (Botton To Top)

How can we calculate dynamically, and in real-time, results of evaluations? How can we have the results displayed as and when we insert grades inside the application? All of this in having a correct answer time? This is the aim of the BTT rules.

Every time a grade, an evaluation or other data is entered, a result calculation is sets off trough the BTT rules, based on the position of the grade in the evaluation’s tree. With this functionality, we can now see the results calculated almost simultaneously to the seizure, even for complex evaluation systems (for example evaluations that combine time metrics and classical grades).

This new module is compatible with every notation system used inside IS-Academia. However, he is forced to be used in a hierarchical structure, supposing an evaluation is only influencing results above it. This constraint can be lifted by combining BTT rules with rule’s classical treatment. This mode allows a double treatment, with a part of the results calculated directly and another in deferred time. With this combination, we also optimize the result time by fragmenting the calculation of the different grades.


PDF’s metadata and uploading cell

The PDF’s we usually use may contain metadata. This information indicates the document’s author, subject, keywords, etc. and is generated automatically when the PDF document is created.

When the PDF’s are loaded inside IS-Academia, they also contain this information. Most of time, it’s unused, but a document from IS-Academia may be sent to an external system which may need such information to publish or manage the document. 

Inside IS-Academia, a cell has been developed to load a PDF document inside a student’s follow-up. The particularity of this cell, is that it is possible to define, for each document, which metadata we want inquired. The data may arise from the user, or even from a GPS’s detail of the registration used.

The document saved inside IS-Academia contains metadata up-to-date and in cohesion with the student concerned, and may be sent to another system properly. 


Web service and test page

Web services are required to let two remote systems communicate. Inside IS-Academia, a few of them have appeared; some linked to people, some to schedules, others to plans of study, etc. All of these services are fully configurable and continue to evolve through time.

What is problematic is the act of testing them. How do you call the web service? What are the arguments required to make the web service work? Do I need to authenticate?

In the aim to answer these questions, a page had been conceived to offers pre-set examples. These test cases contain all the required information to launch a web service. It’s possible to define the service’s address, required arguments, and linked particularities. All these examples are defined through a portal’s cell and might be adapted case to case.


Invocation of web services inside IS-Academia

IS-Academia is not an isolated application. It must communicate with external systems by receiving or sending information.

From some time now, we have developed a web service infrastructure, allowing to send information from IS-Academia to the outside. This was a first step, but receiving and presenting information from other applications is essential. Therefore, we created a new cell able to invoke web services and transform the answer as an XML file. This transformation offers an infinity of possibilities to display them in a portal cell (responsive or not).

A concrete example has been set up to display courses schedule. The data are called from the outside of the application through the web service cell, and are display with a new standard library of schedule display in the teacher’s portal.

This new cell will stop where web services will stop…


Today’s program in your pocket

Today’s program cell has been modified in the version 1707 of IS-Academia in a way to offer a more simplified and elegant vision of your day.

Especially conceived for a mobile use, this cell allows you to quickly check the information of your day’s program, such as the time, the room or the teachers of your next course.

Moreover, arrows offer you a simple to use navigation day per day, and a calendar allows you to navigate directly to a special date.
